The Smart Kiosk add-on enables verified on-site time tracking and provides a real-time overview of attendance.

Overview

The Smart Kiosk is a paid add-on that provides verified on-site time tracking through QR scanning with a smartphone. Individuals without smartphones can also clock in directly from the Smart Kiosk using a personal 4-digit PIN code. The attendance overview on the Smart Kiosk offers clear insights into which employees are currently on shift and whose shifts are upcoming. This feature ensures that the on-site team is always well-informed.

Configure

Go to the Smart Kiosks list to change your initial Kiosk setup configuration. Click on the three dots ⋮ behind each kiosk in the list. Choose “configure” to make the wanted changes. To learn more about setting up a Smart Kiosk for the first time, refer to our documentation here.

Verified time-tracking

Smart Kiosk offers a transparent solution that benefits both employers and employees. By scanning a constantly changing QR code, employees can provide proof of their on-site presence, which helps eliminate conflicts and create transparency.

Clock in with PIN

Employees can use a personal 4-digit PIN code to clock in. To clock in:

  1. Open the “Smart Kiosk app”

  2. Click on “your name” or search for the name by clicking on the “search bar” above

  3. Press the “Clock-in” button

  4. Enter your PIN code

After entering your PIN code, you will be clocked in. If you don't have a PIN code, click "Forgot PIN?" below the PIN keypad. The PIN code will be sent to your email.

Clock in with QR

Employees can use their smartphones to scan the dynamically changing QR code on the Smart Kiosk dashboard. To clock in, open the “Heybegin app” and click the “Clock in” button. Now, choose the “Scan QR” code as a clock-in method. After scanning the QR code, you will be clocked in.

Attendance dashboard

The Smart Kiosk attendance dashboard provides real-time information about team member's attendance status. Open the Smart Kiosk app, and you will immediately see people listed in three sections: Coming up, On-shift and All team members.

  • Coming up shows people whose shifts are scheduled to start in three hours.

  • On-shift shows people who are on shift right now.

  • All team members show everyone in your team and scheduled shift start and end times under the person's name.
