Working hours and breaks in the reports

Our platform offers flexible reports for accurate monitoring and management of working time and time-off information.

Working hours in the detailed report

Note that when you open the reports, a summary report is displayed by default, and in order to see a detailed report, you have to select it from the drop-down menu.

In the following, I will explain what data is shown by the columns reflecting the working hours in the detailed report, the content of which every user needs to know. These columns are:

  • "Scheduled hours" shows the amount of work hours planned in the work schedule.

  • "Reported hours" shows the amount of working hours reported by the employee.

  • "Duration" shows the amount of working hours, which may include both scheduled hours and reported hours by the employee.

    • This column is very similar to the "Scheduled hours" column, but the difference between them comes out in the situation when the employee does not report the working hours of a planned shift. If this happens, for the shift for which the employee does not report working hours, the scheduled working hours of the given shift will be taken into account.

    • For example, if both an 8-hour and a 4-hour shift were planned in the work schedule, and the employee reported only 6 working hours for the first shift, then the 6 working hours reported by the employee for the first shift and the 4 scheduled hours for the second shift are shown. working hours. In this example, this makes a total of (6+4) 10 working hours. See also 4. example below.

  • "Total hours" shows the same amount of working hours as the "Duration" column, but from which unpaid breaks have been deducted. See also the section "Reports and breaks" below.

How is this reflected in the detailed report?

Below are some examples of when and how working hours are shown in the aforementioned columns of detailed report.

1. An 8-hour shift was planned in the schedule, but the employee did not report working hours. Thus:

  • The "Scheduled hours" column shows: 8 hours

  • The "Reported hours" column shows: 0 hours

  • The "Duration" column shows: 8 hours

  • The "Total hours" column shows: 8 hours

2. An 8-hour shift was planned in the schedule and the employee delivered 6 working hours. Thus:

  • The "Scheduled hours" column shows: 8 hours

  • The "Reported hours" column shows: 6 hours

  • The "Duration" column shows: 6 hours

  • The "Total hours" column shows: 6 hours

3. An 8-hour shift was planned in the schedule and the employee reported 10 working hours. Thus:

  • The "Scheduled hours" column shows: 8 hours

  • The "Reported hours" column shows: 10 hours

  • The "Duration" column shows: 10 hours

  • The "Total hours" column shows: 10 hours

4. An 8-hour and a 4-hour shift were planned in the schedule, and the employee only reported 6 working hours for the first shift. Thus:

  • The "Scheduled hours" column shows: 12 hours

  • The "Reported hours" column shows: 6 hours

  • The "Duration" column shows: 10 hours

  • The "Total hours" column shows: 10 hours

Reports and breaks

Our reports reflect both paid and unpaid breaks. It should be remembered that:

  • paid breaks are not deducted from any amount of working hours shown in the reports.

  • unpaid breaks are not deducted from the amount of working hours shown in the "Scheduled hours", "Reported hours", "Duration" columns.

  • unpaid breaks are deducted only from the amount of working hours shown in the "Total hours" column.

How is this reflected in the report?

Below are some examples of when and how unpaid breaks are shown in the previously mentioned columns of reports.

1. An 8.5-hour shift with a 0.5-hour unpaid break was planned in the schedule, but the employee did not report working hours. Thus:

  • The "Scheduled hours" column shows: 8.5 hours

  • The "Reported hours" column shows: 0 hours

  • The "Duration" column shows: 8.5 hours

  • The "Total hours" column shows: 8 hours

2. An 8.5-hour shift with a 0.5-hour unpaid break was planned in the schedule, and the employee reported 8.5 working hours with a 0.5-hour unpaid break. Thus:

  • The "Scheduled hours" column shows: 8.5 hours

  • The "Reported hours" column shows: 8.5 hours

  • The "Duration" column shows: 8.5 hours

  • The "Total hours" column shows: 8 hours

3. An 8.5-hour shift with a 0.5-hour unpaid break was planned in the schedule, and the employee delivered 8.5 working hours without a 0.5-hour unpaid break. Thus:

  • The "Scheduled hours" column shows: 8.5 hours

  • The "Reported hours" column shows: 8.5 hours

  • The "Duration" column shows: 8.5 hours

  • The "Total hours" column shows: 8.5 hours
